The Program Management Office Administrator is responsible for administration, coordination and documentation production activities in support of operations of the Program Management Office
Program Management Office Administrators will support the Program Management Office's overall efforts to establish, enhance, and sustain optimal practices, processes, and standards regarding Program Portfolio, Program Applications, Program and Project Methodology, Resource Management, Performance, and Governance Management. These efforts will support our Project Management community, Business Partner Group, and Business Segment Leaders successful delivery of technology and change initiatives to meet their business objectives. To achieve this, the Program Management Office Administrator must demonstrate the ability to provide day-to-day support for the Program Management Office's efforts to develop and deliver consistent standards, plans, and frameworks that can be re-used on multiple technology and broader change management initiatives.
Paramount to this success is the ability to work in a dynamic environment where a premium is placed on providing support that is oriented toward the Program Management Office's charge of understanding Business Segment plans, the applicability of best practices and the criticality of delivery to ensure Our Investments continues to secure the long-term goals of its clients and the advisors who serve them. To achieve this, the Program Management Office Administrator will demonstrate the following responsibilities and duties.
MAJOR RESPONSIBLITIES AND DUTIES
" Support the development, and implementation, and on-going operations of PMO strategy, processes and service model
? Support data gathering and collateral development relative to best practices for Program Portfolio Management, Project Management, Pricing Management, Program Applications Management, Performance Management and Governance Management
? Provide coordination and administrative support for efforts to develop and deliver processes and tools which support effective PMO operations, continuous improvement cycles, and the extension of an enterprise-wide Program Management platform
? Support PMO Leadership with meeting and schedule coordination, assistance in creating executive level presentations, and document production support for the Program Management Office, including data collection, report configuration, and materials assembly for monthly reporting requirements
" Support the PMO Leadership to engage the firm in the PMO operation, including assistance with the following:
Program Portfolio Management
? Support analysis activities oriented toward qualifying business demand across projects, applications, and services congruent with prioritization efforts assisting with data gathering and development of working materials
? Provide assistance with materials development related to standards, templates and tools for effective Program Management
? Provide needed administrative and coordination support for the assessment and evaluation of PMO effectiveness and, accordingly, support efforts to re-define program objectives to align with changes in the business environment
? Provide coordination and production support to PMO Leadership in managing an effective Stage-Gate review process in conjunction with best practices, preparing project reviews and executive reporting, and developing program-level presentations to senior management
Project Management
? Support research efforts, toolkit development, and training administration and coordination geared toward project management professionals on project methods, processes, tools and templates to support their efforts relative to project scope management, resource and task management, product quality management, project monitoring, tracking and reporting, including cost, schedule, earned value analysis, and remediation efforts, and compliance and regulatory mandates
? Support PMO Leadership efforts to work with project managers to ensure that individual projects conform to defined standards and processes
? Provide assistance with analyses in support of PMO efforts to ensure that program projects are managed effectively in terms of overall schedule and budget
Resource Management
? Provide administrative, coordination, and production support for PMO Leadership efforts with collating, maintaining and reporting of IT resource allocations
? Provide administrative support of Time Tracker application
? Provide coordination and administrative support for efforts related to Overtime and Resource Utilization reporting
Pricing Management
? Provide administrative, coordination, and production support for PMO Leadership efforts with marshalling and coordinating technology cost management and business unit allocation information in support of demand planning and resource allocation efforts
Program Applications Management (Clarity)
? Assist with requirements validation efforts with key user groups, including Business Partners, Business Analysts, Project Managers, Resource Managers, IT Leadership, and Business Unit constituents, to ensure system optimization relative to work in-take, prioritization, resource management, support integration, cost management, and financial analysis
? Serve as residential Clarity Administrator, monitoring the application, setting up and removing users, conducting training (as needed) for particular user groups, and generating reports
Performance Management
? Support PMO Leadership efforts to facilitate definition of technology SLAs across advisory, projects and operational services
Governance Management
? Support PMO Leadership with materials development and scheduling of prioritization and governance committee meetings
? Support development of executive level presentations and agendas for IT Leadership Reviews and IT Advisory Committee

" Perform role as part of Business Partner team
? Align Business Partner goals, objectives and strategies to broader IT organization goals and strategic direction, and those of firm overall.
? Support the development, monitoring and adherence to project and departmental budget
? Help drive IT performance to higher levels to improve business user satisfaction
? Actively participate in special IT and corporate projects as needed, such as business continuity drills, corporate strategy support, Sarbanes-Oxley or SEC audits
" Perform other duties as assigned
REQUIREMENTS
Education and Training:
Bachelors Degree or equivalent work experience.
Experience:
" 2- 5 years with related experiences leading to successful administration of competencies as presented above.
Knowledge, Abilities and Skills:
" Introductory knowledge of IT, including experience in Project Management, Change Management, Business Systems Analysis
" Effectively assimilates to new environments and has the proclivity for quickly developing project and program management knowledge base
" Exceptional communication skills, written and oral
